What Should Architects Send Their MEP Engineer?

Architects get faster, better-coordinated MEP documents by sending the right files. Here's what to provide: backgrounds, RCPs, and program info.

The Short Answer

Architects should send their MEP engineer current architectural backgrounds (preferably CAD), reflected ceiling plans, the code and occupancy analysis, equipment and program information, and the project schedule. Clean, layered backgrounds with defined room names, ceiling heights, and fixture locations let the MEP team design accurately the first time and minimize coordination cycles. The more complete the package, the faster and better-coordinated the MEP documents.

Architectural Backgrounds in CAD

The foundation of every MEP set is the architectural background. Send the current CAD files with clean, organized layers so we can x-reference the plan and draft over it. Include walls, doors, windows, room names and numbers, dimensions, and any fixed equipment. Layered backgrounds allow us to isolate what matters for each discipline and keep the MEP sheets legible.

Reflected Ceiling Plans

The RCP is critical for coordination. It shows ceiling heights, ceiling types, soffits, and the architect's intended locations for lighting, diffusers, sprinklers, and other ceiling devices. When we design lighting layouts and air distribution against an accurate RCP, we avoid conflicts with structure, ductwork, and architectural features and reduce rework during construction.

Code and Occupancy Analysis

Share the code summary: occupancy classification, occupant loads, construction type, and the applicable code edition. Occupant counts drive plumbing fixture calculations and ventilation rates, while occupancy type affects electrical and life-safety scope. If the architect has already resolved these, sending them prevents duplicated analysis and keeps all disciplines aligned.

Program and Equipment Information

Tell us how each space will function. Kitchen equipment schedules, medical or lab equipment, IT and server rooms, and any process loads shape mechanical, electrical, and plumbing design. Note owner or tenant preferences on systems, controls, and product standards. The earlier we understand the program, the more accurately we can size systems from the start.

Schedule and Coordination Expectations

Provide the permit submittal target, the construction start date, and the review milestones. If you expect design-assist, energy-code documentation, or specific deliverable phases, say so. Clear expectations let us align our production with the overall design schedule and flag conflicts early.
